Head of Business Operations

My Moissanite is a growing e-commerce brand in premium moissanite jewelry. We sit above mass-market brands and below traditional luxury brands. We offer high-quality materials, strong design, and a luxury look at a smarter price.

We are based in Madrid and operate globally. Our setup is lean, international, and highly digital. Right now, the company is run from the office by the founder and one developer, with a heavy reliance on automation, AI, custom integrations, and smart systems. We move fast, we care deeply about quality, and we are obsessed with doing things properly.

This role matters because growth is starting to outpace operational structure. Too much still lives in the founder’s head. Too many things depend on his input. We need someone who enjoys stepping into that kind of environment and building order without slowing everything down.

What you’ll own

You will take end-to-end ownership of daily e-commerce operations, including:

  • customer support escalations and manual cases (a lot is already handled by AI)
  • supplier communication and follow-up
  • order placement, fulfillment coordination, and issue resolution
  • logistics, customs, pickups, shipping exceptions, and returns follow-up
  • weekly operational reporting, project management, and execution accountability
  • building SOPs, automations, checklists, and cleaner workflows for recurring operational work

This is not a role for someone who wants a narrow lane. You will be expected to spot issues early, push things forward without being asked, and create structure where there currently is too much improvisation.

What success looks like

In the first 2 to 3 months, you should:

  • remove the founder from most routine operational work
  • create visibility on what is blocked, late, at risk, and next
  • make sure recurring issues are tracked and pushed forward
  • document the core workflows the business needs to run properly
  • improve the most important recurring sources of friction so operations become calmer and more reliable

If you are the right person, problems will get solved before they become drama.

What you need to bring

You can only be a strong fit if you have:

  • at least 3 to 6 years of hands-on experience in e-commerce operations, customer operations, logistics, DTC operations, or similar
  • fluent English and Spanish
  • strong ownership and follow-through
  • a perfectionist eye for detail and a high standard for doing things properly
  • confidence working across tools, spreadsheets, task systems, CRMs, and helpdesk software
  • practical comfort with automation concepts, AI tools, APIs, and digital systems
  • experience in a startup, small company, founder-led business, or something similarly fast-moving and messy

Nice to have

  • experience with anything jewelry related
  • experience with supplier coordination
  • experience working closely with developers or technical teams
  • strong instinct for workflow improvement and process design

Who will love this role

You will likely thrive here if you are high-agency, proactive, slightly obsessive, and genuinely enjoy turning messy operations into clean systems. You should be comfortable managing up, pushing back intelligently, keeping the team accountable, and figuring things out without needing constant direction.

Salary and benefits

€38,000 to €44,000 gross per year, depending on fit and experience.
